The Event Services Sales Manager is responsible for marketing and selling the California Science Center Foundation’s (“Foundation”) private (external/third party) events and assisting with internal and external event management as needed. Customarily and regularly exercises discretion and independent judgment when making sales or obtaining contracts for services, planning, representing the Foundation, and advising management on policies to support the event sales function for the Foundation.

QUALIFICATIONS

  • College degree required.
  • Professional marketing or sales experience in the events or hospitality industries or related field.
  •  Experience working for a non-profit organization not required, but highly valued.
  • Proven track record of organizing successful promotional campaigns included messaging, branding, outreach, advertising and social media.
  • Specialty venue, hotel, hospitality industry, catering or Convention & Visitor Bureau experience to promote and sell our destination.
  • Proficient knowledge of event planning and management.
  • Experience executing contracts preferred, but not required.
  • Ability to exercise the requisite degree of discretion and independent judgment when performing job.
  • Budgeting skills (knowledge of non-profit accounting and business practices preferred, but not required).
  • Excellent organizational, interpersonal and verbal/written communications skills.
  • Must be a task oriented self-starter with a high level of motivation.
  • Ability to stand prolonged hours, lift, bend and carry 25 lbs.
  • Available to work days, nights, weekends and holidays as needed to accommodate event schedule.
  • Computer skills: Microsoft Office Suite, Outlook based calendar, Social Tables (Diagram software – preferred but not required).

RESPONSIBILITIES

Primary department sales contact for vetting and processing potential event clients expressing interest in booking our facilities from initial inquiry to contract execution. (50% of the job description)

  • Responds to potential clients in a timely and professional manner and provides accurate information to help convert inquiries to contracts when appropriate.

  • Becomes an expert on the Foundation’s facility and event capabilities.

  • Schedules and facilitates event sales walk-throughs with potential clients.

  • Responsible for contracting with clients by executing Event Reservation Agreements for third party events and collecting deposits to confirm the events.

  • Maintains events department calendar, client and vendor databases.

  • Responsible for committing the Foundation in matters that have significant financial impact (sales contracts)

Primary department contact for marketing and selling the Foundation’s world-class destination for third party (external) events. (30% of the job description)

  • Develops a cohesive marketing strategy to promote the Science Center’s venues as a world-class event destination for third party events.

  • Works with team to generate new sales strategies and creates Sales Plan aligned with Foundation’s mission.

  • Creates and implements policies to improve event sales function for the Foundation and advises management on such policies.

  • Assists Vice President with creating and managing the Event Services Department’s fiscal budgets and strategizing departmental sales goals.

  • Creates promotional materials (electronic and printed) to distribute to potential clients.

  • Updates internal and remote websites and marketing deck to feature new exhibits and event venues.

  • Contributes to Social Media campaign to help drive event sales.

  • Maintains continuous dialogue with Event Producers, upper level donors, LA Tourism, meeting planners and DMCs.

  • Knowledgeable of in-house preferred caterer’s capabilities and strengths.

  • Responsible for creating and mailing monthly Events Newsletter.

  • Identifies and implements new advertising and marketing opportunities, both complimentary and paid.

  • Apprises events team of potential and new business at regularly scheduled production meetings.  

  • Attends industry related events and networks through various functions to identify new event clients.

  • Assists VP and Director with event management of internal (in house) and external (third party) events as needed. (20% of the job description)

  • Manages internal and external events as needed from conception through completion.

  • Assists VP in planning annual Discovery Ball and other internal events.

  • Assists VP and Director with client relations and third party events as needed.

  • Creates Work Orders, floorplans and Event Logistic Summaries.

  • Performs other duties as required.

MANAGEMENT RESPONSIBILITIES

  • Executes contracts on behalf of the Foundation.

  • Creates and executes departmental sales forecasts and makes budget recommendations to the Vice President.

  • Manages event staff assigned to his or her events.
